We are seeking a highly polished Guest Experience & Hospitality Coordinator to serve as the face of fast-growing defense tech startup in San Leandro, CA. This role is centered on delivering a premium guest experience and seamless day-to-day coordination for a dynamic, high-traffic workplace of approximately 40–50 employees.
This is not a traditional facilities role. This position is best suited for someone with a hospitality mindset who thrives in creating welcoming, well-orchestrated environments.

Schedule: onsite 5 days/week
Compensation and benefits: $90-$100K base + bonus, benefits, and equity.

Responsibilities
Guest Experience & Office Coordination
- Serve as the first point of contact for all visitors, delivering a warm, professional, and highly polished welcome
- Manage conference room scheduling and ensure meeting spaces are prepared to a high standard
- Maintain a seamless flow of daily office operations for a 40–50 person team
- Act as the “face of the office,” setting the tone for a professional and inviting environment
Event Planning & Execution
- Plan and execute internal events, team gatherings, and company-wide activities
- Coordinate customer visits, executive meetings, and board-level engagements
- Support opening events and ongoing hospitality initiatives for a high-visibility office
Recruiting Coordination (Light Support)
- Schedule candidate interviews and manage logistics via Ashby
- Coordinate candidate communications and follow-ups
- Partner with internal teams to ensure a smooth interview experience
Qualifications
- Bachelor’s degree required
- Background in hospitality, ideally within hotels or high-end service environments
- Proven experience in scheduling, coordination, or office management roles
- Strong event planning and execution experience
- Exceptionally polished, professional presence, comfortable interacting with executives, board members, and external stakeholders \
- Highly organized with strong attention to detail and the ability to manage multiple priorities
- Calm, proactive, and service-oriented mindset
